Registrants must include the payment reference number (from the invoice generated by the registration system) when sending the wire transfer in order for the payment to be credited properly. An email with details of the wire transfer should also be sent to conference-registration@apnic.net stating your payment reference number, remittance number, wire transfer amount, name, organization and contact details (postal and e-mail address, telephone, and fax numbers).

Online Registration

It is highly recommended that you register online to secure your attendance well in advance of the conference start date. Early registration will facilitate in the planning of the conference. Delegates who have difficulties in making an online registration payment should contact the Secretariat at conference-registration@apnic.net to arrange an alternative payment method.

On–site Payment

On-site payments can be made at the registration counter when you arrive at the conference. Payments are accepted in cash in USD only, as outlined in the Registration Fees. On-site conference payment can be made from 27 September 2016. It is recommended that you prepare the exact amount for payment.


C. Walk-in Registrants

Walk-in registrants are NOT allowed for the workshops but are allowed for the conference. Only cash payments in USD are accepted and the full amount must be paid at the registration counter.


D. Confirmation

A confirmation letter will be sent to you by email after completing the online registration form. Please keep it for your reference.


E. Cancellation of Conference

If, for any reason the conference is cancelled, the APNIC 42 Conference Secretariat will refund in full, all registration fees received. APNIC and other entities, including but not limited to local organizers and supporting organizations of the event, will NOT be liable for any losses or damage suffered or incurred by the registrant or any other third party arising out of, or in any way connected with, the cancellation of the conference. Such losses or damage include, but are not limited to, loss of airfare, accommodation deposits or other associated costs or loss or damage to property.

* For refunds via wire transfer or credit card, an AUD 50 fee will be levied to cover bank administrative charges. The refund process may take up to 3 months to complete.


G. Substitution of Registration

If you are unable to attend the workshop and/or conference, you may appoint a substitute to attend. Simply inform us at conference-registration@apnic.net and quote your order number and the new contact details of the substitute registration. We will liaise with the new registrant directly.


H. Liability

If you are unable to attend the conference for any reason other than cancellation of the conference, APNIC and other entities including but not limited to, local organizers, the host and supporting organizations of the event, will not be liable for any resulting losses, financial or otherwise. To the extent permitted by law, APNIC has or have no liability whatsoever for any loss (including consequential loss), damage, expense, claim or proceeding in respect of:

  1. Damage to, loss, destruction or loss of use of any real or personal property;
  2. Any injury to, disease or death of, persons; or
  3. Pure economic loss suffered by third parties, in respect of any act or omission, negligent, wilful or otherwise, arising out of or in any way connected with the conference.

Indemnity

The registrant indemnifies the Organisers against:

  1. Any claim or proceeding that is made, threatened or commenced against the Organisers; and
  2. Any direct or indirect cost, liability, loss (including consequential loss), damage or expense (including legal and other professional costs on a full indemnity basis) incurred by or awarded against APNIC from a claim or proceeding commenced by the registrant, the registrant's estate or a third party on behalf of the registrant arising in any way or in connection with the conference.

I. Event Audio/Video Recording, Photography and Live Transcript

During the workshops, conferences and meetings, photographs may be taken by the host/organizer for use in their publications or other promotional material. In addition, many sessions are subject to video and audio recording for webcasting and archival purposes. By attending the sessions, you agree to allow APNIC and other entities including but not limited to, local organizers, hosts, co-hosts and supporting organizations, the unrestricted right and permission to copyright and use, reuse, publish, and republish video and/or audio recordings, photographs, presentations or pictures of you or those in which you may be included. Also, live transcript services will be provided in some sessions. Due to the inherent difficulties in capturing a live speaker's words, it is possible transcripts may contain errors and mistranslations. Lloyd Michaux and APNIC accept no liability for any event or action resulting from the content of the transcripts.

APNIC Community Code of Conduct

APNIC coordinates many community activities, including conferences, meetings, trainings, workshops, and social events. These are organized for the benefit of all participants, and are intended to be valuable and enjoyable to all.  This Code of Conduct explains expectations for anyone participating in these events, including delegates, guests and speakers, APNIC staff and all others involved.  It applies not only to physical events, but also to remote participants and online meeting spaces.

Expected Behavior

It is expected that participants behave properly and positively at all times: showing respect and courtesy to others wherever possible, and ensuring a safe and inclusive environment.

We hope that all attendees feel welcome and comfortable to participate fully, therefore we are committed to providing an environment free of the following unacceptable behaviors:

  • Discrimination, whether based on a person’s race, ethnicity, culture, national origin, social or economic class, educational level, sex, sexual orientation, gender identity and expression, age, size, family status, political belief, religion, or mental or physical ability.
  • Harassment, including offensive speech, threats or demands, sharing of sexualized media, stalking, photography or recording without consent, or unwelcome physical contact or sexual attention.
  • Misbehavior including disturbance to others or to event proceedings, misuse of property, trespass, theft or other antisocial acts.

Consequences

  • Unacceptable behavior by any community member, including those with decision-making authority, will not be tolerated.
 Anyone asked to stop unacceptable behavior is expected to comply immediately.
  • If a community member engages in unacceptable behavior, we may take any action deemed appropriate, including temporary ban or permanent expulsion from the event without warning (and without refund in the case of a paid event).
  • If you are subject to or witness unacceptable behavior, or have any other concerns, please notify us as soon as possible by emailing conduct [at] apnic.net.  Please read the Reporting Guidelines for more information.
  • Additionally, Secretariat event staff are available to help community members experiencing unacceptable behavior. In the context of in-person events, organizers will also provide escorts if needed by anyone experiencing distress.

Frequently Asked Questions

What has been announced about the APNIC 42 location?

After the recent escalation of violence, APNIC 42 will no longer be held in Dhaka. APNIC 42 will now be held in Colombo, Sri Lanka, from 28 September to 5 October at the Hilton Colombo.

Why is APNIC 42 being moved?

While it was the strong intention of APNIC to hold APNIC 42 in Dhaka, the escalation of violence in Bangladesh has caused the upgrading of Bangladesh's travel warnings by international governments, which would prevent many delegates and guests from attending.

Have the dates of APNIC 42 changed?

The dates of APNIC 42 have changed slightly, with the event moving forward one day. The workshops will run from 28 September – 2 October, and the conference will run from 3-5 October.

Where in Colombo will the event now be held?

The venue for APNIC 42 is the Hilton Colombo. For more information on the venue, accommodation, and visa information, visit the Travel page.

How do I get to Colombo?

Colombo’s airport is served by 24 airlines, with direct flights to many major cities (including all major airline hubs) in the Asia Pacific region.

More information on transport options from the airport to the conference venue will be posted to the website and communicated to delegates as soon as possible.

What accommodation options are available?

The Travel Page on the APNIC 42 website has been updated with hotel accommodation options.

Do I need to apply for a visa to travel to Sri Lanka?

Holders of passports from Singapore and the Maldives do not require a visa. All other nationalities are required to apply online for an Electronic Travel Authorization (ETA) to enter Sri Lanka, and it is a simple process. Please select the Business Visa when applying. You can apply online at the Sri Lanka Electronic Travel Authorization System. For more details, visit the Travel page.

As always, we urge all delegates who require a visa to apply promptly to avoid delays.

I have already registered for APNIC 42 in Dhaka. Is my registration still valid?

Yes. All event registrations made to date are still valid for APNIC 42 in Colombo.

ISPAB Members were permitted to register up to four delegates for the conference for free when the conference was being held in Dhaka. Will that benefit remain now that the conference is moving?

Yes, APNIC will honour that agreement.

I have already booked flights to Dhaka - what can I do now?

We advise you to contact your airline or travel provider as soon as possible to discuss the options available to rebook your flights to Colombo.

I have already booked Dhaka accommodation - what should I do?

We would advise you to contact the hotel or your travel provider to check your cancellation options and make new arrangements for Colombo.

The change of location means I can no longer attend APNIC 42. Can I cancel my registration?

Yes. If you paid for a workshop or conference place, a full refund of registration charges will be provided if you cannot attend the conference as a result of the change in location.

To obtain a refund, please contact the APNIC 42 team before 31 July 2016. After this date, the regular cancellation terms contained in the APNIC 42 Terms and Conditions will apply.

What is happening with the FIRST meeting planned for Dhaka? And the APIX and APstar meetings?

The APIX and APstar meetings will be held in Colombo with APNIC 42. APNIC is in contact with FIRST regarding their plans and we hope to be able to provide an update soon.
