A. General Terms
The APRICOT 2023 Summit will be held as a face-to-face event with an on-line component, with the face-to-face sessions being held at the Sofitel Philippine Plaza, Metro Manila, Philippines.
By registering to attend the Summit, you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions and the APRICOT Code of Conduct. These Terms and Conditions may be amended at any time by being published on the Summit website. By attending the Summit after such publication, you agree to the Terms and Conditions as amended.
You acknowledge, understand, and agree that attendance at the Summit will be subject at all times to the Code of Conduct and that should you breach the Code of Conduct, the Organisers reserve the right to exclude you from the Summit, including but not limited to any chat functions or other forms of communications. The Organisers reserve their right to exclude any person from the Summit at their discretion. You acknowledge and agree that you will not be entitled to a refund of any registration fees or any loss or damage resulting from your exclusion from the Summit.
Only registered and fully-paid attendees are permitted to enter the Summit and must wear their badge at all times.
B. Registration Fee Schedule
Registration is essential for participation at the Summit and will incur a registration fee. Information on what fees apply are set out in Tables 1 to 4 below.

Notes
- Registration Fee is quoted in United States Dollar (USD)
- The Registration Fee charged includes entry to all official social events. However, entry to the socials will be via tickets issued at the registration counter during the Summit.
- All fees are payable by Credit Card upon registration. If you wish to pay by bank transfer, please contact secretariat@apricot.net to make the necessary arrangements prior to commencing the registration process.
C. Payment Information
Online payments by Credit card for APRICOT 2023 will be processed through PayPal in USD.
Online Registration
It is highly recommended that you register online to secure your attendance well in advance of the Summit start date. Early registration will facilitate in the planning of the Summit. Delegates who have difficulties in making online payment should contact the Secretariat at secretariat@apricot.net to arrange an alternative payment method.
On-site Payment
On-site conference payment can be made at the Registration Desk from 27th February 2023 onwards. Cash Payments are accepted in USD as outlined in the Registration Fee Schedule. Please check the website for Registration Desk Opening Hours. Please prepare the exact amount to pay as change may not be available.
D. Walk-in Registrants
Walk-in registrants are not normally allowed for the workshops. If you choose to walk-in for the workshops, please bear in mind that you may not be able to join the workshop of your choice.
E. Confirmation
A confirmation complete with an invoice and an invitation letter will be sent to you by email upon completing the online registration form. Please keep it for your reference. The invitation letter will be essential should you require a visa to visit the Philippines.
F. Cancellation of the Summit
If for any reason the Summit is cancelled, the Organisers will refund in full all registration fees received less bank or credit card charges. APIA, APNIC and all other entities, including but not limited to the host, local organisers and supporting organisations of the event, will NOT be liable for any losses or damage suffered or incurred by the registrant or any other third party arising out of, or in any way connected with, the cancellation of the Summit. Such losses or damage include, but are not limited to, loss of airfare, accommodation deposits or other associated costs or loss or damage to property.
G. Cancellation Policy
Cancellation fees will apply according to the schedule below. To cancel your registration, please write to secretariat@apricot.net

For refunds via wire transfer or credit card, a flat USD 50 will be levied to cover bank administrative charges. The refund process may take up to 1 month from the Summit closing date to complete.
H. Substitution of Registration
If you are unable to attend the workshop and/or conference, you may appoint a substitute to attend. Simply inform us at secretariat@apricot.net, quote your order number and the new contact details of the substitute registration. We will liaise with the new registrant directly.
I. Liability
Subject to Section F, if you are unable to attend the Summit for any reason other than cancellation of the Summit, the Organisers and other entities including but not limited to, local organisers, the host and supporting organisations of the event, will not be liable for any resulting losses, financial or otherwise, suffered or incurred by the registrant or any other third party. Such losses or damage include, but are not limited to, loss of airfare, accommodation deposits, or other associated costs or loss or damage to property.
To the extent permitted by law, the Organisers have no liability whatsoever for any loss (including consequential loss), damage, expense, claim or proceeding in respect of:
- Damage to, loss, destruction or loss of use of any real or personal property;
- Any injury to, disease or death of, persons; or
- Pure economic loss suffered by third parties, in respect of any act or omission, negligent, wilful, or otherwise,
arising out of or in any way connected with the Summit.
Summit presenters who are not employees of the Organisers are solely responsible for the content of their presentations and agree to indemnify the Organisers against any claims of third parties regarding such content, including but not limited to infringement of intellectual property rights.
J. COVID-19
The Summit will be conducted in accordance with the safety measures required by authorities in the Philippines to reduce the risk to Summit attendees of illness from infectious diseases such as COVID-19. It is important to note that the risk of infection and illness will remain for those attending in-person. By attending the Summit in-person, you acknowledge and agree that:
- You may be exposed to infectious diseases (such as COVID-19);
- You assume all risks related to such illness or infection and will not hold the Organisers liable for such illness or infection;
- You will be responsible for all costs incurred as a result of infection or illness, including any medical treatment, accommodation costs, or alternative travel arrangements;
- The Organisers may impose additional safety measures at the Summit because of the requirements of the authorities of the Philippines or in accordance with the Organiser’s own risk assessment. You will be notified of any additional safety measures (either via email or by notice on the Summit website or at the Summit venues) and your continued entry to the Summit will be deemed acceptance of these safety measures.
K. Indemnity
The registrant indemnifies the Organisers against:
- Any claim or proceeding that is made, threatened or commenced against the Organisers; and
- Any direct or indirect cost, liability, loss (including consequential loss), damage or expense (including legal and other professional costs on a full indemnity basis) incurred by or awarded against the Organisers from a claim or proceeding commenced by the registrant, the registrant's estate or a third party on behalf of the registrant,
arising out of or in any way connected with the Summit.
L. Event audio/video recording, photography and live transcript
During the Workshops, Conference and other meetings taking place as part of the Summit, photographs may be taken by the hosts/organisers for use in their publications or other promotional material. In addition, many sessions are subject to video and audio recording for webcasting and archival purposes.
By attending the sessions, you agree to allow the Organisers and other entities including but not limited to, local organizers, hosts, co-hosts and supporting organizations, the unrestricted right and permission to copyright and use, reuse, publish, and republish video and/or audio recordings, photographs, presentations or pictures of you or those in which you may be included. You acknowledge that this information may constitute personal information and that you consent to its collection and use by the Organizers in accordance with the APRICOT Privacy Statement and these terms and conditions.
Also, live transcript services will be provided in some sessions. Due to the inherent difficulties in capturing a live speaker's words, it is possible transcripts may contain errors and mistranslations. The Organisers accept no liability for any event or action resulting from the content of the transcripts.
M. Dietary requirements
While the Organisers work hard to cater for all dietary requirements and tastes, in some locations and venues it is not possible to meet all requests.
N. Governing Law
These Terms and Conditions shall be exclusively governed by the laws of Queensland, Australia. The courts of Queensland, Australia, shall have exclusive jurisdiction with regard to disputes arising from these Terms and Conditions.
